Archiving conversations in Microsoft Teams is an essential practice for businesses and teams, enabling them to retain important information, stay organized, and meet compliance standards. Unlike traditional emails, where archiving is straightforward, Teams’ archiving system requires a bit more planning, especially since the platform integrates chats, files, and channels. Here’s a simple guide on how to archive conversations in Teams and ensure your information is stored securely.

Why Archive Conversations in Teams?

Archiving in Teams can be beneficial for:

  • Record-Keeping: Keeping records of key decisions, project details, and discussions.

  • Efficiency: Clearing out active channels while keeping conversations accessible if needed in the future.

While Microsoft Teams doesn’t have a built-in “archive conversation” button, there are several strategies to archive effectively. Here’s a look at how to achieve this.

1. Use Compliance and Retention Policies in Microsoft 365

Microsoft 365 offers Compliance Center tools that can automatically archive conversations across Teams channels and chats based on your organization’s requirements. Here’s how it works:

  • Retention Policies: Set retention policies for Teams within Microsoft 365 Compliance Center. These policies allow you to choose how long conversations are retained and when they should be deleted or preserved. You can set policies for Teams chats (private messages) and channel messages (public discussions).
  • Auto-Archiving: You can set policies to automatically archive inactive Teams or channels. For example, if a channel or Team has been inactive for a set period, you can configure the system to retain its messages but mark it as archived.

Setting Up a Retention Policy

  1. Go to the Microsoft 365 Compliance Center.
  2. Select Information governance > Retention.
  3. Create a new policy specifically for Teams, selecting whether you want to cover only private chats or also include channel messages.
  4. Set the retention period and choose to delete or archive the data after the period.

2. Manually Archive Teams and Channels

In cases where an entire project or Team has wrapped up, you may want to archive it manually. Archiving a Team freezes it, allowing members to view content without making changes. Here’s how:

  • Use eDiscovery within Microsoft 365 Compliance Center, which allows you to search, hold, and export specific conversations across Teams.
  • Create an eDiscovery case, search for relevant conversations, and export them as needed. This tool is particularly useful for legal and compliance purposes.

4. Save Important Messages as PDFs or Word Documents

For smaller or more specific records, consider manually saving important conversations. You can copy and paste conversations into a Word document or PDF file, or take screenshots for quick archival.
