How to Use Power Automate to Automatically Send Copilot-Generated Tasks to Microsoft To Do

Microsoft Teams Copilot makes it easy to track action items from meetings and discussions. By integrating these tasks with Microsoft To Do, you can streamline your workflow and stay on top of your responsibilities. With Power Automate, you can take this a step further by automating the process of sending Copilot-generated tasks directly to Microsoft To Do, reducing manual effort and improving productivity. This blog will guide you through setting up this automation.

Step 1: Capturing Tasks in Teams Copilot

  1. During a meeting, Copilot automatically detects action items.
  2. You can review the generated tasks in the meeting summary.
  3. Confirm or edit tasks before sending them to your To Do list.

Step 2: Setting Up Power Automate to Send Tasks to To Do

  1. Open Power Automate – Go to Power Automate and sign in with your Microsoft account.
  2. Click Create and select Automated cloud flow.
  3. Name your flow (e.g., “Send Copilot Tasks to To Do”) and select When a new task is created in Teams as the trigger.
  4. Click Create to start building the flow.

Step 3: Configuring the Automation Flow

  1. Set Up the Trigger:
    • In the Trigger settings, choose the Teams workspace where Copilot generates tasks.
  2. Add an Action to Create a Task in To Do:
    • Click + New Step and search for Microsoft To Do.
    • Select Create a task.
    • Map the task fields from Teams Copilot to the corresponding fields in Microsoft To Do (e.g., task name, due date, assigned user).
  3. Save and Test the Flow:
    • Click Save and then Test by creating a new task in Teams Copilot.
    • If configured correctly, the task should automatically appear in your To Do list.

Step 4: Managing Tasks in Microsoft To Do

  • Set Due Dates & Reminders – Ensure you complete tasks on time.
  • Add Notes & Subtasks – Break down complex tasks into smaller steps.
  • Mark as Complete – Track progress as you complete each task.
  • Sync with Planner – If you’re using Microsoft Planner, tasks can be linked for team-wide visibility.
