What Can Outlook Copilot Do and How to Use It

1. Draft Emails with Natural Prompts

If you need to send an email but don’t have time to craft it yourself, Copilot can handle the first draft.

How to use it:

  1. Open Outlook and start a new email.
  2. Click the Copilot icon or choose Draft with Copilot.
  3. Type a natural language prompt like “Write a professional thank-you email to a client after a successful meeting”.
  4. Copilot will generate the email text.
  5. Use the on-screen controls to adjust tone (formal, casual, persuasive) or length.
  6. Edit as needed before sending.

2. Summarize Long Email Threads

When catching up on long conversations, you can get the key points in seconds.

How to use it:

  1. Open the email thread you want to review.
  2. Click the Copilot Summary button at the top of the message.
  3. Copilot will present a concise list of main points, key decisions, and next steps.
  4. You can click on any bullet point to jump directly to that part of the conversation.

3. Coaching and Tone Refinement

Sometimes you’ve written the message, but it just doesn’t sound quite right—Copilot can help.

How to use it:

  1. Compose your email as usual.
  2. Click Coaching by Copilot.
  3. Select the style you want—more concise, warmer tone, or more formal.
  4. Review the suggestions and apply the ones you like.

4. Inbox Prioritization

If your inbox is overflowing, Copilot can highlight the most important messages based on who sent them, their urgency, and their content.

How to use it:

  1. Open Outlook and navigate to your inbox.
  2. Look for the Priority View toggle (available with Copilot enabled).
  3. Copilot will group important messages at the top and mark them with a small star icon.
  4. You can customize what “important” means in Settings > Copilot > Prioritization Rules.

5. Suggest Action Items, Replies & Follow-Ups

Copilot can detect when an email mentions something you need to do and help you act on it immediately.

How to use it:

  1. Open any email that contains a request or a question.
  2. If Copilot detects an action, a panel will appear with suggested replies or follow-ups.
  3. You can click Create Reply to generate a draft or Add to To-Do to log the task in Microsoft To Do.
  4. Adjust or send the response directly from the suggestion pane.

  • AI Agents in Copilot Chat — You’ll be able to assign small automated workflows to Copilot right inside Outlook without switching to another app.
